Administrative Specialist II for Admissions Office

Ozarka College in Melbourne, Arkansas seeks qualified applicants for a full-time Administrative Specialist II for the Admissions Office. Acting under the direction of the Director of Admissions & Student Engagement, the Administrative Specialist is responsible for providing current and prospective students with quality support services to help them obtain their education goals. Working collaboratively with the Director, Registrar, VA Certifying Official, Financial Aid personnel, Recruiter, and the other student support staff, the Administrative Specialist II for the Admissions Office provides support to enhance the quality of the Ozarka College student experience. 

Position Specific:

  • The Administrative Specialist II is accountable for providing friendly and helpful service to all and secretarial support to the Director of Admissions, including covering phones, performing clerical duties, and keeping a professional and tidy front office for Admissions/Financial Aid suite.
  • This position performs recruitment assistance, including campus tours, scholarship processing, data compilation and records maintenance.
  • Enter/update student data and records in student electronic accounts (SONIS);
  • Assist with frontline Financial Aid inquiries, FAFSA applications, and FSAID setup.
  • Provide appropriate communication to applicants concerning acceptance status and fulfillment of admissions criteria.
  • Deliver and pick up mail between the Student Services building and the Administration building twice daily.
  • Counsel prospective students regarding admissions processes and program information in the absence of the Director of Admissions and Recruiter.
  • Respond to telephone, internet, and college fair inquiries.
  • Assist with prospect/applicant correspondence.
  • Assist with keeping scholarship correspondence & keeping databases current
  • Assist with Admissions-supported events as needed.
  • Prepare scholarship certificates.
  • Seek efficiency in operations; report perceived inefficiencies.
  • Maintain professional etiquette, attitude, conduct, and appearance.
  • Represent Ozarka College in a positive manner.
  • Assumes other duties and responsibilities as assigned by the Director of Admissions & Student Engagement.

Minimum Qualifications:

  • The formal education equivalent of a high school diploma.
  • Formal education equivalent of an associate’s degree or higher with a major in general business or related field is preferred.
  • Computer skills in basic office software such as word processing, spreadsheets, email, and student data systems.
  • Ability to handle multiple tasks and use good organizational skills to take initiative and coordinate daily workload.
  • Proven interpersonal skills both written and verbal to promote understanding, respect for others, and clear articulation of the college mission.
  • Commitment to personal integrity in all working relationships with others.
  • Demonstrate knowledge of the responsibilities and skill required to fulfill the position responsibilities.
